Custom GPT Copilot: Build a Personal Business Mentor

Sometimes the simplest AI tools can be the most valuable. While everyone’s chasing the latest complex AI applications, I’ve found immense value in a basic but powerful custom GPT that serves as my business “Copilot” – and today I’m going to show you how to build your own.

This was actually the first custom GPT I ever created back in mid-December, and despite its simplicity, it’s become one of my most-used AI tools for day-to-day business decisions.

What Exactly Is a Business Copilot?

Before Microsoft popularized the term “Copilot” for their AI assistants, I was using it to describe something more personal: a custom-trained GPT that knows you, your business, and your goals intimately enough to provide tailored guidance.

Think of it as having a trusted advisor who:

  • Knows your resume, skills, and professional background
  • Understands your business objectives and strategy
  • Is familiar with your personal values and mission
  • Can reference your past work and content
  • Is available 24/7 to help you think through decisions

The beauty of this approach is that it’s not trying to replace human advisors – it’s simply giving you a thinking partner for those moments when you need quick feedback or guidance.

The Accidental Discovery

I didn’t set out to build a business Copilot. Initially, I was inspired by my work with Close Strong (an AI company building a sales coach) and a life coaching program from Michael Hyatt’s Full Focus. I thought, “If AI can coach sales, why not life coaching?”

My first attempt was to create a personal AI life coach by uploading all my personality assessments, goals, values, and life plans. While that specific implementation didn’t quite work as I’d hoped (it couldn’t stick to asking just one question at a time as instructed), I discovered something more valuable.

What emerged was a GPT that had access to all my personal and professional documents, giving it context about me that regular ChatGPT lacked. This made it incredibly useful for a wide range of business applications – from reviewing contracts to evaluating opportunities against my stated goals.

How to Build Your Own Business Copilot

Creating your own is surprisingly straightforward. Here’s how to build a version similar to mine:

Step 1: Set up a new custom GPT

Go to ChatGPT (you’ll need a Plus subscription), click on “Explore GPTs” and then “Create a GPT.” You’ll want to configure it manually rather than using the builder.

Step 2: Basic configuration

Give your GPT a name (I simply called mine “Copilot”) and a brief description. I used “How can I help you today, [Your Name]?” to make it feel personalized. You can also upload a profile picture – I chose an image of an older businessman to represent experience and wisdom.

Step 3: Write your instructions

The instructions can be simple. Here’s what I used:

“You are an expert business mentor and life coach helping [Your Name] reach his/her goals faster by asking critical questions and providing clear, actionable advice. Please reference your knowledge of [Your Name] in the provided documents to guide his/her thinking.”

You can elaborate on this with more specific guidance about your communication preferences or areas of focus.

Step 4: Upload key documents

This is where the magic happens. In the “Knowledge” section, upload documents that provide context about you and your business. Consider including:

  • Your resume or professional bio
  • Business plans or marketing strategies
  • Mission statements and core values
  • Goal documents or OKRs
  • Personality assessments (StrengthsFinders, DISC, etc.)
  • Samples of your writing (LinkedIn posts, articles, etc.)
  • Important business documents that you reference frequently

One important note: I discovered that your GPT won’t automatically reference these documents unless specifically prompted. You’ll need to ask it to check specific documents when you want that context applied.

How I Use My Business Copilot Every Day

Once you’ve built your Copilot, the uses are nearly endless. Here are some of the ways I leverage mine:

Opportunity evaluation

When a new opportunity comes my way, I ask my Copilot: “Consider this opportunity against my life focus document. Does this align with my goals? What questions should I ask myself before proceeding?”

Content review

Before publishing important content, I’ll ask: “Review this article draft. Does this align with my usual voice and style based on my LinkedIn posts? What improvements would you suggest?”

Contract analysis

When reviewing agreements: “Review this contract proposal. What potential issues should I be aware of? What clarification should I seek?”

Decision making

For tough choices: “Based on my stated goals and values, what factors should I weigh most heavily in this decision? What am I potentially overlooking?”

Business strategy

For planning: “Given my current business focus and strengths, what potential opportunities might I be missing in this market?”

The value comes from having an AI that already knows your context without you needing to re-explain your background, values, and goals each time.

Why This Is Different From Regular ChatGPT

You might be wondering: “Couldn’t I just upload these documents to regular ChatGPT whenever I need them?”

Technically, yes. But there are several advantages to having a dedicated custom GPT:

  1. Persistent knowledge – Your documents remain available without re-uploading
  2. Pre-prompting – It’s already instructed to act as your business advisor
  3. Specialized focus – It’s designed specifically for business guidance rather than general assistance
  4. Quicker access – One click to your business thinking partner

It’s like having a dedicated workspace versus using a general-purpose tool for everything.

Limitations and Future Improvements

While I’ve found my business Copilot incredibly useful, it’s not perfect:

  • It doesn’t automatically reference your documents unless specifically asked
  • It can sometimes struggle with complex instructions (like my original “one question at a time” rule)
  • It’s not proactive – you still need to initiate all interactions

As GPT models improve, I expect these limitations to diminish. In fact, I plan to revisit my original life coach concept once GPT-5 is released, as it may handle complex instructions more reliably.

Start Simple, Iterate Later

What I love about this particular custom GPT is its simplicity. Unlike some of my other GPTs that perform very specific tasks, this one is general-purpose but still incredibly valuable.

If you’re just getting started with custom GPTs, this is an excellent first project. It’s easy to build, immediately useful, and you can continually refine it as you learn what works best for your needs.

For solopreneurs and small business owners especially, having this AI thinking partner can be invaluable when you don’t have a team to bounce ideas off of. It’s like having a trusted colleague who’s always available and infinitely patient.

The most powerful AI tools aren’t always the most complex – sometimes they’re just the ones that fit perfectly into your workflow and address a genuine need. For me, this simple business Copilot has proven to be exactly that.
